Operations Manager


The Operations Manager (OM) assumes responsibility for day to day operations and cost containment at the organization and will work directly with the COO and other members of the Senior Management team to meet the strategic goals and objectives of the organization ensuring efficient and smooth operations and fiscal discipline without compromising quality, client satisfaction or employee morale. The individual functions in a decentralized organization and is accountable to the COO; Executive Directors and Senior Management. Works under the direction of the COO, in a collaborative manner with the Clinical line leaders, service directors and managers to achieve stated and desired objective.


Responsibilities

The Operations Manager working in concert with the COO (jointly with the COO) assumes full responsibility for efficient operational and fiscal management of the all DOCS programs including, but not limited to:

  • DOCS VIP Clinics and Heart Centers

  • DOCS 24x7 Medical Call Center

  • DOCS Hypertension Squad

  • DOCS Telemedicine Service and Electronic Consultations

  • DOCS Remote Patient Monitoring Service

  • Glo-DOCS 24x7 Service

The OM is responsible for achieving specified program benchmarks, assuring quality care while delivering efficient and timely operations and financial management at DOCS at all times. It is important that the occupant of this post function effectively in stressful situations. This position requires skill in interpersonal relations, group dynamics, problem solving, interviewing, observation, counseling, and teaching. Additionally, the ability to evaluate other personnel and to use good judgment in determining priorities and modifications of assignments is required. The Operations Manager position requires in-depth knowledge of operational and management theory and practice, expert skills in financial management, communication, understanding, and the ability to incorporate operations and personnel management principles.

The OM must have great eye for details, must be goal oriented, must be able to multi-task and yet able to prioritize and be on schedule with task completion and deliverables. Knowledge, understanding, and acceptance of the philosophy and policies of DOCS are required. The OM will work closely with management, nursing, clinical, technical, sales and marketing and staff and physicians to assure quality patient care, service distribution, efficient and timely operations and achievement of clinical, strategic, sales and business objectives. Follows Behavioral Standards and Policies of DOCS.

Purpose and distinguishing characteristics

Working in concert with other members of the management team, the OM directs operational services and fiscal controls, within scope of assignment. The OM organizes, plans and directs service department functions and activities to meet strategic objectives of the company, improve performance and ensure business growth. Develops objectives, rules and regulations, and policies and procedures of financial management and Operations; establishes, implements, monitors, evaluates Institutional performance in relation to DOCS objectives. The OM ensures compliance with all HR policies, operational and financial standards as well as adherence to institutional objectives and policies pertaining to Financial Management, Operations and Administration.

  • Responsible for driving Revenue Generation while keeping operational cost down to meet program benchmarks without compromising quality

  • Provides consultation, makes recommendations, gives appropriate advice, and/or facilitates decisions about operations as they affect testing or procedures recommended for patients or services delivered to clients.

  • Acts as a resource to provide information or determine the most effective way of meeting the needs of management, staff, or customers.

  • Monitors and evaluates DOCS operations, programs, processes and/or practices for quality and effectiveness; makes recommendations for improvement and when accepted ensure that such recommendations are implemented without undue delay.

  • In consultation with COO, manages and sets performance benchmarks for staff and physicians, monitors, tracks and reports on operational and financial performance based on established benchmarks.

  • The Operations Manager will be responsible for implementing cost accounting and internal audit processes to avoid wastage and maximize income.

  • The Operations Manager working in concert with the COO will be responsible for managing vendor relationships and ensuring that all receivables and payables including all inter-company debt repayments are properly registered and scheduled with the Financial Officers for timely payment as not to jeopardize operations.

  • The Operations Manager will be responsible for maintaining the fixed asset register and tracking Inventory to ensure that essential supplies are always in stock without creating an oversupply situation.

  • The OM must be actively involved in all promotions and marketing initiatives including Community Outreach programs to drum up business for the company.

  • Delivers presentations, stand up training, or instruction to staff, management, clients, or the general public.

    Registered Nurses

    Requirements

Subscriptions are also facilitated through 3 major mobile money operators. The ideal candidates for the Sales Agents and Sales Heads jobs at DOCS must be computer literate and willing to aggressively market the innovative program to ensure healthcare access to a large under-served population.

    Accountant/Financial Controller


    We are currently recruiting for well trained and experienced Accountant/Financial Controller join our team. The ideal candidate for the Accountant/Financial Controller job at DOCS must be computer literate and well versed in modern standards of Accounting and capable of producing high quality financial reports and analysis for timely submission to our Corporate Office

    The selected candidate must be capable putting structures in place to capture financial records from all DOCS locations and divisions and product/service lines and of generating Financial Reports in dual currency (USD and Naira). Reports must clearly show the contribution of each service line or location to the consolidated group financial position. Financial reports must generated monthly, quarterly and at the end of the financial year and must include all key ratios and indicators like internal Rates of Return, Return on Equity, Earnings per share, EBIDTA, et.


    Responsibilities

    • Maintain and submit finance and accounting records

    • Prepare quarterly and annual budgets.

    Medical Doctors

    Requirements

    • MBBS or MD from a reputable medical school and full registration with the Medical and Dental Council of Nigeria

    IT and Systems Administrator

This person will also define and implement IT policies, procedures, and best practices

    IT Officer


    The IT Officer assumes responsibility for enterprise wide IT and systems management and assist with day to day operations at DOCS and its affiliated entities. The IT Officers’ role is to ensure the streamlined operation of the IT Department in alignment with the business objectives of the organization.

    Requirements

    • This individual will assist with the maintenance of all medical equipment and computers within the organization. Help to plan, coordinate, direct, and design IT-related activities of the organization, as well as provide administrative direction and support for daily operational activities of the IT department and assist the management team with day to day operations.

    • The IT Officer will work closely with decision makers in other departments to identify, recommend, develop, implement, and support cost-effective technology solutions for all aspects of the organization. This person will also define and implement IT policies, procedures, and best practices.

    • The IT Officer assumes responsibility for day to day IT operations and Systems Management and Maintenance of the organization and affiliated entities in all locations. This individual will work directly with the Management Team to meet strategic goals of the organization ensuring efficient and smooth operations without compromising quality, patient satisfaction or employee morale.

    • The IT Officer will also serve as an Operations Officer and will be responsible for purchasing and inventory management.

    • This individual will assume Operational Management of Web2Phone Ltd and maintenance of all web related activities for DOCS and all affiliated entities as assigned by the CEO or designate.

    • The IT Officer will be required to help monitor and maintain all systems and software relied on for the transfer of studies to the telemedicine platform, and maintain a 100% transfer rate.

    • The IT Officer will be responsible for managing the entire medical informatics platform, including the electronic medical records system and be responsible for data management and archiving of records for easy and efficient retrieval.

    • This candidate is responsible for the installation, adaptation, programming and maintenance of the PBX system and is responsible to ensure satisfactory operation of the call center with respect to all affiliated product and service lines.

    • The IT Officer is required to be available and to provide direct support and assistance to Service Engineers that may be engaged by DOCS and/or affiliated entities from time to time.

    • The IT Department is a 24 hour service department and it is a critical requirement of this job that the IT Officer is readily available on call after hours to provide support and assistance remotely and failing that, to be physically present to resolve critical IT issues at ALL DOCS locations.

    • This individual will be required to prepare and disseminate daily and weekly reports to the specified supervisors.

    • IT Officer will also be responsible for the developing and maintaining of the websites of DOCS and all its affiliate entities.

    • Keep log of all help desk interactions.

    • Stay current with system information, changes and update.

    • Must be cross-trained in Medical Records.

    Field Sales and Marketing Officers


    The ideal candidate for this position must be vibrant with strong interpersonal and communication skills (verbal and written). Such a candidate must be able to recognize and follow a sales lead to conclusion

    Financial Accountant


    Candidate must be well trained and qualified in Accounting and registered with ICAN. A minimum of BSC in Accounting is required for this position.

    Requirements

    • Ensure Timely and Accurate Processing Of Cash Receipts, Cash Disbursements and Payroll

    • Develop and maintain a sound internal control structure with respect to cash receipts, and disbursements
